We are building our Operational Excellence function, and Quality & Training is its first pillar. This is a build and scale role: you will strengthen the strong foundation already in place while designing the QA program, systems, and standards that a practice of our size and ambition needs for its next stage of growth.
Today, a small dedicated team supports quality across 400 frontline agents, working largely through manual processes and in close partnership with our BPO. There is significant opportunity to build: to introduce our first QA platform and automation, to establish independent quality oversight of outsourced work, and to stand up quality assurance for our growing set of AI agents. You will own that build end-to-end.
As Head of Quality & Training, you will design and implement Talkiatry's QA operating model, select and roll-out our first QA platform, define how we measure and coach quality, and build the capability to quality-assure both human and AI interactions as we scale. You will lead a small team, including a manager who owns training, knowledge, and change management, while you own the quality program end-to-end.
About Talkiatry:
Talkiatry is transforming mental health care by making high-quality psychiatry more accessible, human, and sustainable for both patients and clinicians. Co-founded by a patient and a triple-board-certified psychiatrist, we were built to solve one of healthcare’s most urgent challenges: millions of people struggle to access mental health care, while clinicians face growing administrative burden and burnout. Through our technology-powered, in-network platform, we’re changing that, creating a better experience for patients and empowering clinicians to focus on delivering exceptional care.
Today, Talkiatry is the largest dedicated psychiatry practice in the U.S., with 750+ psychiatrists, 250+ therapists, and more than two million patient visits delivered nationwide. At our scale, every innovation has real impact. Every workflow we improve, every technology solution we build, and every patient experience we redesign helps thousands of clinicians provide better care to hundreds of thousands of patients. We’re not just growing quickly — we’re redefining how behavioral healthcare is delivered in America.
Joining Talkiatry means joining a mission-driven team that is solving complex problems at scale, driving meaningful change in healthcare, and building the future of mental health care with compassion, innovation, and purpose.
You will:
What You’ll Own First (Year One)
Design and stand up a QA operating model built for our scale. Define a risk-based sampling and coverage strategy, and use automation to move us from manual, ad-hoc review to statistically meaningful coverage.
Stand up our first real QA platform capability. Evaluate whether to build on ServiceNow's QA features, adopt a dedicated QA/AI-QA tool, or combine them. You will own the business case, configuration, and rollout.
Establish an independent, automated QA signal over BPO-handled volume. Rather than adding headcount, build automated/AI scoring that runs independent of the BPO's own scores, and focus human time on calibration and adjudication where scores diverge or risk is high.
Stand up QA for our AI agents. Define how we evaluate agentic AI interactions for accuracy, tone, empathy, and compliance, and build the human-in-the-loop feedback mechanisms that improve them.
Bring the compliance and liability-sensitive audits, such as crisis protocol and HIPAA/compliance review, into the standing program so coverage is consistent rather than bandwidth-dependent.
Key Responsibilities
Vision & Leadership
Define and lead the long-term strategy for the Quality & Training function, aligned to Talkiatry's growth and operational goals.
Build and lead the team. A manager reporting to you will own training, knowledge base, and change management. You own the quality program directly.
Own the roadmap for QA systems and platforms, including the automation and AI needed to run quality at scale.
Balance onshore and offshore QA staffing to optimize scale and quality, and set the governance model for how we work with and oversee our BPO.
Foster a culture of excellence, learning, and accountability.
Quality Philosophy & Scorecard Design
Own how we define and measure quality. Design a scorecard and QA philosophy that separates non-negotiable protocol adherence from judgment-based quality.
Keep a small set of critical, auto-fail items where following protocol exactly is required – HIPAA verification, crisis protocol, safety escalations, clinical boundaries.
Score the rest (tone, empathy, whether the response fit the patient's actual situation, whether it was the best answer and not just a compliant one) on graduated quality, not literal script adherence.
Weight quality dimensions so that a cold, by-the-book script read cannot earn a top score. We want agents who adapt appropriately to the patient in front of them.
Carry this philosophy into calibration and coaching, so that alignment sessions reward patient outcomes and appropriate judgment, not rigid compliance.
Quality Assurance & Insights
Establish and maintain QA standards that reflect both healthcare professionalism and a high-quality patient experience.
Run QA for both human agents and AI interactions, ensuring consistent tone, accuracy, and compliance.
Conduct root cause analysis on QA and CSAT data to surface process gaps, training needs, and system improvements.
Deliver real-time visibility into quality, throughput, and efficiency through dashboards and reporting.
Partner with Operations and Clinical leadership to embed QA insights into process and system design.
AI-Integrated QA & Knowledge
Partner with the AI Ops & Strategy team to align AI performance metrics with Talkiatry’s QA standards for accuracy, empathy, safety, compliance, and workflow adherence.
Quality-assure agentic AI systems in partnership with AI Ops & Strategy, owning the QA scorecards, sampling, calibration, human in the loop review, and evaluation methods.
Conduct QA reviews of AI generated interactions and translate findings into actionable recommendations for AI Ops & Strategy, PCC Operations, Training, and Knowledge Management.
Validate whether AI Ops & Strategy changes to prompts, workflows, vendor configuration, model behavior, integrations, and system design improve interaction quality.
Translate QA findings and AI performance trends, including containment, accuracy, and escalation volume, into training, retraining, coaching, and knowledge update needs.
Own knowledge quality standards for human and AI use, including semantic structure, context tagging, and source of truth discipline. Content ownership sits with the Learning Enablement Manager; AI Ops & Strategy owns AI knowledge infrastructure, ingestion, retrieval performance, and technical configuration.
Team & Function (via your Learning Enablement Manager)
Your Learning Enablement Manager owns knowledge base content and governance, training program design and delivery, and change management for new tools, workflows, and content.
You set the direction and standards while they run enablement so you can stay focused on the quality build.
You have: Qualifications
8+ years in QA, quality operations, or training leadership, with progressive scope, ideally in healthcare, regulated, or high-touch service environments.
Demonstrated experience building a QA function from the ground up and at scale, including standing up or configuring a QA platform capability.
Experience running QA or quality operations at scale, across hundreds of frontline and/or outsourced agents, with the sampling, coverage, and automation strategies.
Hands-on experience evaluating conversational or agentic AI systems, including accuracy, tone, empathy, safety, workflow adherence, escalation behavior, and human in the loop review. (If you haven't done this yet, you've done adjacent interaction QA and are ready to build it)
Experience overseeing BPO quality, including governance, calibration, and independent quality signals beyond vendor self scoring to keep independent quality signals.
A strong point of view on quality philosophy: you know the difference between compliance-based and outcome-based QA, why it matters, and how to design scorecards that reward judgment and patient experience, not just script adherence.
Proven ability to run root cause analysis and turn it into operational and behavioral change.
Experience leading and developing people and scaling programs across large, distributed onshore/offshore teams.
A builder's bias toward automation and technology over added headcount, paired with strong analytical and data skills.
Ability to drive standards and alignment across functions (Operations, Clinical, AI/Product) without direct authority, and to lead teams through change.
Exceptional written and verbal communication.
Bachelor's degree or higher preferred.

1 in 4 people in the US have a treatable mental health condition, but most providers don't accept insurance, making therapy too expensive for most people. Headway’s mission is to fix this by building a new mental healthcare system everyone can access. We started by solving the biggest barrier to care: insurance. The admin work - credentialing, claims, payment reconciliation - is a nightmare. We've automated that.
But we're going further. Over 75,000 providers across all 50 states run their practice on our software, serving over 1 million patients. We are building the best tools for therapists to run their entire practice, reimagining the experience of finding a therapist, and investing in the platform foundations to enable this at scale. We aren't just a billing layer; we are becoming the platform where care actually happens.
We're a Series D company with $325M+ in funding (a16z, Accel, Spark Capital, etc.), looking for exceptional people to help us achieve this mission. We want your time here to be the most meaningful experience of your career. Join us, and help change mental healthcare for the better.
About The Role
As a Therapist Clinical Quality Peer Educator, you'll help ensure therapists' documentation reflects safe, evidence-based, and clinically sound care by evaluating notes against Headway's clinical quality standards. Your work helps promote consistency, support provider growth, and maintain the high standard of care our providers deliver. Some Peer Educators also provide individualized remediation and coaching to help providers successfully meet quality expectations. Please note: this is a part-time role.
You will be great for this role if:
You are a current licensed therapist or professional counselor with an independent, unrestricted license and 3+ years of direct therapy experience.
You have experience completing quality chart reviews or audits for healthcare delivery organizations, and have coached or trained other clinicians on documentation that meets standards of clinical care.
You are comfortable working alongside AI-assisted review tools: critically evaluating a model's output and giving structured feedback that improves both the rubric and the model over time.
You are an expert communicator and educator, with experience conveying information to large and diverse groups of individuals - and you can deliver feedback in a way that feels supportive rather than punitive.
You are comfortable adapting to various healthcare technology platforms, and to workflows that continue to evolve as our programs scale.
Role responsibilities:
Review clinical documentation across note types - initial assessments (90791) and progress notes - to identify gaps that fall below industry standards for high-quality, safe patient care.
Review clinical decision-making processes and the use of evidence-based treatment modalities.
Complete additional quality-assessment work as our programs evolve, including calibration exercises and inter-rater reliability rounds.
Some peer educators may also provide asynchronous and live 1:1 remediation support to providers falling below established standards of care, using education-forward communication that ties documentation expectations to patient safety and quality standards.
Complete all review and documentation work within Headway's designated systems, adhering to HIPAA and Headway's privacy and confidentiality requirements. Patient information is never stored or maintained outside those systems.
Compensation
We have multiple openings for contracted Therapist Clinical Quality Peer Educators. Each role requires a minimum commitment of 10 hours per week. Each peer educator will be reimbursed at an hourly rate of $125 and requires the individual to set up or have an existing LLC or S-Corp.
We believe a team's strength is in its people, and we cannot achieve this mission without a team that reflects the diversity of this problem – across race, ethnicity, gender, sexuality, age, national origin, religion, family status, disability, military status, and experience. Headway is committed to the full inclusion of all qualified individuals. As part of this commitment, Headway will ensure that persons with disabilities are provided with reasonable accommodations. If reasonable accommodation is needed to participate in the job application or interview process, to perform essential job functions, and/or receive other benefits and privileges of employment, please inform the recruiter when they contact you to schedule your interview.

Job Description A bit about this role: As Director of Clinical Operations and Innovation, you will be a key strategic and operational leader driving Devoted Medical’s organization-wide efforts to deliver best-in-class clinical outcomes. You will own and drive outstanding performance on core preventative care and clinical outcomes for our members, such as cancer screenings, diabetic eye exam, and kidney function testing. Questions you may find solutions to include: How do we screen hundreds of thousands of members for depression and ensure appropriate follow up care in a resource efficient way? What barriers do members face in completing breast cancer screening? Which barriers does Devoted Medical have the unique ability to influence and how should we influence them? How do we optimize every Devoted touchpoint with members to ensure that they are empowered to complete life-saving preventive screenings? Sitting at the unique intersection of technology, clinical excellence, and member experience, you will translate enterprise quality goals into scalable engagement strategies, tech-enabled workflows, and high-impact clinical interventions. You will report to the Senior Director of Preventive Health with high visibility across executive leadership. You will identify and shape opportunities to improve member health outcomes at scale, drive innovations that accelerate performance, and partner with frontline teams to translate strategy into reality. Responsibilities and Impact will include: Strategy & Innovation. Design organization-wide strategies across a portfolio of clinical outcome metrics to deliver exceptional member care at scale. You will identify innovative opportunities to eliminate friction points along members’ healthcare journeys, empowering them to achieve their healthiest lives. Excellent Cross-Functional Execution: Manage performance against operating KPIs and clinical outcomes metrics. Partner with Clinical, Member Experience, Product, Technology, and front line teams to design and implement solutions that improve clinical and care coordination interventions. You will translate goals into actionable strategies, and guide initiatives from pilot phase through full-scale implementation across our member population. Results-Driven Performance & Insight. Leverage data to determine drivers of performance and performance variability. Your role is to help the organization distinguish between signal and noise so that we achieve our targets and understand the underlying mechanics driving that success. You will create frameworks that enable evidence-based decisions and spearhead initiatives to resolve barriers to performance. Servant Leadership. Drive execution through a blend of direct management and leadership through influence, operating with a true servant-leader mindset that prioritizes enabling, unblocking, and supporting frontline teams. You will translate complex operational goals into daily workflows that set our teams - and our members- up for success. Required skills and experience: 6+ years of experience in high-ownership operator roles driving performance improvement in complex, regulated, or high-stakes environments through data-driven approaches (i.e. developing metrics & targets, analyzing trends, driving performance improvement, reporting outcomes). Scrappy execution & fast cycles. You are a self-starter who prefers progress over perfection. You are willing to roll up your sleeves to fix a process manually today while architecting the automated solution for tomorrow. You thrive in environments where you need to move fast and adapt quickly. Strong analytical thinking and toolkit. You are comfortable building sophisticated models to size opportunities and evaluate experiments. You have experience leveraging business intelligence platforms (Tableau, Looker, Power BI) and possess the ability to "think in algorithms” regarding multi-step, probabilistic processes. Demonstrated leadership impact and collaborative excellence, with experience successfully influencing outcomes across organizational levels—whether through direct management, cross-functional project leadership, or matrix reporting relationships that require building consensus without formal authority. You are energized by working with diverse backgrounds, and deeply motivated by helping our front line teams do their best work and members achieve their best, healthiest lives. Outstanding communication skills with the ability to distill complex operational and clinical concepts into clear, actionable insights for diverse audiences. Operational architect. A track record of refining complex workflows. You can map out cross-functional processes and identify structural improvements to drive key results. Desired skills and experience: Experience learning quickly in complex operational domains. We value candidates with experience mastering intricate subject matter quickly, whether inside or outside of healthcare. AI explorations. Curiosity about emerging technologies and a pragmatic approach to using them. Experience using LLMs to build complex prompts and tools is a strong plus. Skill and rigor in using and analyzing data. You understand the pitfalls of metrics (e.g., how open vs. closed periods affect data, or how denominators shift over time). You are comfortable thinking in ranges and probabilities rather than false precision, and you can distinguish between a metric changing and the underlying reality changing. Salary Range: $182,000 - $217,000 year #LI-REMOTE The pay range listed for this position is the range the organization reasonably and in good faith expects to pay for this position at the time of the posting. Once the interview process begins, your talent partner will provide additional information on the compensation for the role, along with additional information on our total rewards package. The actual base salary offered will depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. Our Total Rewards package includes: Employer sponsored health, dental and vision plan with low or no premium Generous paid time off $100 monthly mobile or internet stipend Stock options for all employees Bonus eligibility for all roles excluding Director and above; Commission eligibility for Sales roles Parental leave program 401K program And more.... *Our total rewards package is for full time employees only. As a government contractor subject to the Vietnam Era Veterans Readjustment Assistance Act (VEVRAA), we request this information in order to measure the effectiveness of the outreach and positive recruitment efforts we undertake pursuant to VEVRAA. Classification of protected categories is as follows:

A "recently separated veteran" means any veteran during the three-year period beginning on the date of such veteran's discharge or release from active duty in the U.S. military, ground, naval, or air service.
An "active duty wartime or campaign badge veteran" means a veteran who served on active duty in the U.S. military, ground, naval or air service during a war, or in a campaign or expedition for which a campaign badge has been authorized under the laws administered by the Department of Defense.
An "Armed forces service medal veteran" means a veteran who, while serving on active duty in the U.S. military, ground, naval or air service, participated in a United States military operation for which an Armed Forces service medal was awarded pursuant to Executive Order 12985.

Form CC-305
OMB Control Number 1250-0005
Expires 07/31/2029
Why are you being asked to complete this form?
We are a federal contractor or subcontractor. The law requires us to provide equal employment opportunity to qualified people with disabilities. We have a goal of having at least 7% of our workers as people with disabilities. The law says we must measure our progress towards this goal. To do this, we must ask applicants and employees if they have a disability or have ever had one. People can become disabled, so we need to ask this question at least every five years.
Completing this form is voluntary, and we hope that you will choose to do so. Your answer is confidential. No one who makes hiring decisions will see it. Your decision to complete the form and your answer will not harm you in any way. If you want to learn more about the law or this form, visit the U.S. Department of Labor’s Office of Federal Contract Compliance Programs (OFCCP) website at www.dol.gov/ofccp.

Voluntary Self-Identification of Disability
