Implementation Manager
Implementation Manager
Location: San Francisco (Hybrid - in-office 3+ days/week in downtown SF)
About Billables AI
Billables AI is building the AI-powered operating layer for professional service firms, and we're starting where the pain is deepest: the legal industry. Our platform automates the manual overhead that slows lawyers down, bringing together intelligent timekeeping, work activity capture, and operational visibility so firms can understand how work happens and build a more efficient, profitable practice. The best work happens when people aren't buried in administrative burden, and that's exactly the problem we're solving.
Named Legal Tech Company of the Year by Law.com in 2026, Billables AI is one of the fastest-growing companies at the intersection of AI and legal technology. Our team brings together expert AI researchers and veteran startup builders who know how to move fast, build with conviction, and deliver software that sits at the core of how our customers work and generate revenue. Based in San Francisco, we empower everyone on the team to drive meaningful work end-to-end.
About the Role
Billables AI is transforming how law firms capture time and revenue through purpose-built AI. As we scale, we’re looking for an Implementations Manager who will own the journey from signed deal to successful go-live, running kickoff, configuration, and firm onboarding across our practice management partners. This is a coordination-heavy role, not an engineering-heavy one. Success means keeping three parties moving in the same direction: the firm, the software partner, and our own team. You’ll be the person who takes a new firm from kickoff call to fully live, knows the expected path of an integration well enough to recognize when it’s off track, and keeps six-plus concurrent implementations moving without letting anything slip silently.
What You'll Do
Own new customer implementations end to end: kickoff, configuration, training, and go-live
Coordinate stakeholders across the firm, the billing platform partner, firm IT, and our internal support and engineering teams
Learn and run the distinct implementation playbook for each billing platform, including Centerbase, Litify, and SurePoint. There is no one-size-fits-all deployment, and knowing which steps differ by platform is the job
Triage and diagnose issues before looping in engineering, arriving with a clear, well-scoped problem
Lead change management with the firm: be the face of a workflow change to law firm customers, and drive adoption, not just configuration
Track dozens of small open items across concurrent implementations using systems, not memory
Develop strong opinions about how implementations should run, and manage cross-functional stakeholders to set and align expectations.
Feed what you learn in the field back into the playbook, product, and the sales handoff process
What We're Looking For
2 to 4 years in implementations, onboarding, project management, or client services, ideally in legal tech or a similarly complex B2B environment
Strong project management instincts over deep technical skill. You keep multiple concurrent deployments moving and catch small issues before they compound
An investigation instinct: you run basic diagnostics and scope issues clearly before escalating
Comfort navigating law firm culture and leading change with attorneys and staff — you bring people along with patience and credibility.
Client-facing polish, inside and out. You communicate clearly with external customers and internal teams alike, adjust tone by audience, and treat every audience as a customer
Assertive process ownership. You develop opinions about how implementations should run, voice them, and work with stakeholders across teams to align on the right path
Readiness for hands-on, in-person training to get up to speed. Expect real facetime early on as you learn the platform, the integrations, and how we work
Genuine enthusiasm for AI tools and a track record of finding smarter ways to work
Why Billables AI
We're a lean, high-conviction team building something that actually moves the needle for law firms. This role has real visibility, real influence on product direction, and room to grow as the company scales.

Based in San Francisco, we empower everyone on the team to drive meaningful work end-to-end.
About the Role
This is a career-defining opportunity to build the marketing function at a company that's reimagining how lawyers work through the power of AI.
We've hit real traction – and we're bringing on our first dedicated marketing hire to match. As Senior Marketing Manager, you'll own marketing end-to-end: strategy, execution, and everything in between. You'll set the foundation – positioning, channels, content, campaigns, and the systems – that let a lean team punch above its weight, using AI tools as a genuine force multiplier rather than a novelty.
You'll work closely with our founders and go-to-market team, with the latitude to build the function your way and the runway to grow with it as we scale.
What You'll Work On
Own marketing strategy and execution across channels – content, paid, email, social, events, partnerships – prioritizing based on what actually drives pipeline and growth
Build and run AI-augmented workflows for content production, campaign personalization, competitive research, and reporting, so the function scales without scaling headcount
Develop messaging and positioning that differentiates us, and translate it into copy, campaigns, and sales enablement materials
Set up and own marketing analytics – attribution, funnel metrics, and reporting that ties activity to revenue
Partner with Sales and Customer Success to sharpen messaging, lead conversion, retention and growth.
Manage external vendors, freelancers, and agencies as needed
Test new channels and tactics quickly, kill what doesn't work, and double down on what does
What We're Looking For / Who You Are
5-8 years of marketing experience, with at least some of that at an early-stage startup or in a generalist role where you owned outcomes, not just a single channel
Real, demonstrated fluency with AI tools in a marketing context – not just "I use ChatGPT to write emails," but experience building workflows (content pipelines, automation, research, personalization) where AI tooling measurably increased output or impact
Strong writing and editing skills – you can produce or sharpen copy yourself, not just brief someone else to do it
Data literacy – you're comfortable in analytics tools and can speak to CAC, funnel conversion, and attribution without a dashboard doing the thinking for you
Comfortable learning new technologies and navigating ambiguity in a fast-growing startup
Experience marketing to a technical or B2B audience is an asset
We aren't looking for a traditional marketing hire. We're looking for someone who thrives in a high-growth environment and is:
A team player in the truest sense – you collaborate generously, share wins, and make everyone around you better
Founder-minded – hungry, resourceful, and resilient
A creative problem-solver – quick on your feet, proactive, and solution driven
AI-forward – you're genuinely excited about AI tools, actively seek them out, and use them to sharpen your own workflow and scale your impact
Data-driven and coachable – you use numbers to iterate, and you welcome feedback

We’re looking for engineers with strong technical fundamentals, practical experimentation skills, and experience building AI-powered systems in production environments - especially customer-facing LLM applications. Build prompt pipelines, retrieval systems, and agentic workflows for customer-facing products
Improve classification, extraction, summarization, and automation systems across large volumes of activity data

Strong software engineering fundamentals and hands-on experience working within Python backend architectures
Experience designing experiments and evaluation frameworks to measure and improve AI quality and user outcomes
Comfort moving quickly and making decisions without perfect information
High ownership mindset and ability to independently drive projects end-to-end
Clear communicator who collaborates effectively across technical and non-technical stakeholders
Active use of AI development tools (LLMs, copilots, etc.) in day-to-day workflows
Experience in early-stage or fast-moving environments
Nice to have
Experience with distributed systems, gRPC, or service-oriented architectures
Experience deploying and operating AI systems in cloud environments
Experience with AI infrastructure, MLOps, or large-scale evaluation systems
Why this role
You’ll work on systems that are central to how our customers run their business
You’ll have meaningful ownership and influence early
The opportunity to work within a highly collaborative, deeply technical team to develop leading-edge AI solutions

Based in San Francisco, we empower everyone on the team to drive meaningful work end-to-end.
About the Role
We’re hiring our first VP of Finance to be the financial and strategic right hand to our CEO. This is a hands-on, high-leverage role: you’ll take Finance, RevOps, and partner deal-making off the CEO’s plate, systematize how we report and forecast, and help steer the strategic decisions that drive growth.
Important: our CEO is a deeply technical founder. This role is explicitly designed to complement that. We’re looking for someone who has partnered closely with a technical founder before, has a proven track record doing it well, and genuinely loves that kind of partnership — bringing a complimentary lens and altitude to the numbers.
The role is a healthy blend of tactics and strategy. You’re a builder who is happy in the weeds getting the financial foundation into excellent shape — and equally comfortable operating as a strategic partner on growth, partnerships, pricing, and planning.
What You’ll Own
1) Finance foundation, systems & reporting
Own the full financial infrastructure end to end — Mercury (banking), QuickBooks (accounting), Stripe (revenue/payments) — and make the pieces connect cleanly and automatically.
Manage the contract accounting/bookkeeping relationship, taxes, and a clean monthly close, so nothing falls through the cracks (incl. correct revenue recognition).
Run the reporting cadence the business now needs: monthly reporting, budget to actuals, flux analysis, board materials & reporting, and an annual budget — always in a report-ready state.
Keep a precise, real-time eye on burn and runway, and make spend both strategic and intentional.
2) Partnerships & deal-making (a core growth lever)
Own the economics of our partner, reseller, and referral channels — rev shares, attach, commissions — and stand up the PRM tooling (e.g., partner.io) to manage and pay them.
Set the guardrails: define what we’re willing to do commercially today, in 6 months, and in 12 months, in partnership with the CEO.
Run point on negotiating partner and referral deals directly, working with our legal team. This volume is growing and we want it owned.
3) Growth strategy, analytics & planning
Build excellent business analytics on top of our data (HubSpot RevOps, Stripe, QuickBooks) and turn them into strategic decisions.
Lead annual planning — starting from strategy, then translating it into the financial plan — and run it in close partnership with the CEO.
Partner with go-to-market on pricing & packaging, commission structures, and whether we’re selling the product the right way.
Prioritize investments (hires, channels, partner programs) on payback and ROI.
4) CEO business partner
Be the CEO’s primary thought partner on the business — the hard parts, what’s working, and how to resource it.
Bring a complementary, numbers-first perspective that strengthens a technical founder’s decision-making.
Who You Are
Done it before: prior VP of Finance experience having scaled a company through roughly $2M–$20M in ARR at least once. The foundational building blocks should be second nature.
A builder: you know how a finance function should evolve from lean-and-scrappy upward, and you’re hands-on building it.
Proven with technical founders: a clear track record partnering with highly technical/analytical CEOs — and you love doing it.
AI-native mindset: you already believe AI is central to how this function will be built and run, and you have demonstrated it. We’re all in; this is non-negotiable.
Startup-native: you thrive in a small, fast company. Common strong paths: banking/investing/consulting → head of FP&A → VP Finance; or grown up in the finance function across stages.
Fluent in SaaS & the foundation: ARR, NDR, payback, cohorts; strong modeling; comfortable running GAAP and ASC 606.
Bonus: legal tech, building partner ecosystems, or pricing & packaging experience.
Why This Role
This is a rare first-finance-hire seat with real strategic scope: you’ll build the foundation, own a growing partnership motion, and be a genuine right hand to the founder at a fast-growing, AI-native company, with the autonomy to shape how the function evolves.
