Staff Software Engineer (Insurance)
The Work
The Insurance team is the backbone of Headway's business. We deliver the two core promises of the platform: affordable therapy covered by insurance for patients, and a simple way to run a therapy practice for providers. Every appointment on Headway flows through systems our team owns — from identifying whether a patient is eligible, to estimating their cost, to matching them with a provider, to submitting a clean claim.
This is a deep and wide problem. We operate across all 50 states, 1,000+ payers, and millions of appointments every month. There's a lot of data to make sense of and signal to find in the noise. As Headway's network grows — more patients, more providers, more payers — the accuracy, reliability, and automation of these systems become the difference between a business that scales and one that doesn't.
As a staff engineer in the group, you will lead design and implementation of the systems that power Headway's insurance operations — patient identification, pricing estimates, provider matching, and claims. Build data-intensive, ML-powered platforms that serve patients and providers and learn from every visit, mentor engineers, and write high-impact code at the intersection of healthcare data and payer operations.
Some examples of what that work looks like in practice:
Building a new ML model that lifted price estimate accuracy by 10+ percentage points, getting tens of thousands of patients a better estimate ahead of their first session
An OCR pipeline to read patient insurance cards, automate eligibility checks, and run ML models to detect complex insurance arrangements — improving onboarding and first-claim success rates
A claims AI agent that reviews denied claims, identifies root causes, and resubmits autonomously — recovering hundreds of thousands of dollars and proving we can build self-healing systems at scale
A human-in-the-loop automation that transformed a 20-step manual credentialing process in Google Sheets into an average of 2 days and 1 task — with a record of 6 seconds start to finish — enabling providers to onboard faster and expand their reach to new patients

Workforce Management keeps every patient and provider who contacts Headway answered on time — at a cost that falls as we scale. We forecast demand, schedule the people to meet it, and manage the day in real time across Headway's internal team and our BPO partners — with a growing agent support operation. We run it as a lean, senior, AI-empowered team: the mechanical work goes to the machine; judgment, exceptions, and relationships stay human.
You'll be Headway's first dedicated scheduler — the owner of a function responsible for building, optimizing, and publishing schedules that keep our contact center staffed to demand, govern rosters across the network. At Headway, we're building a new mental healthcare system from the ground up—one that's accessible, effective, and built to scale. Providers on Headway are responsible for their own coding and documentation, and many are new to billing insurance in private practice. We review that documentation against clinical documentation standards — and when a provider has questions about what came back, someone needs to give them a clear, accurate answer they can act on. That's this role.
As a Medical Coding Specialist, you're the coding and billing expert providers reach when they have questions about their documentation review results. You'll interpret those results, determine whether a finding is actually correct, and explain what it means in language a clinician can act on. You'll also be the person who catches it when a review result is wrong — and gets it fixed.
A Certified Professional Coder (CPC) certification is required. All care on Headway is outpatient behavioral health, delivered in person or virtually.
This is not an auditing role, and it is not a production coding role. A separate team performs the documentation audits; you won't be auditing charts or coding claims. You'll apply the same depth of coding knowledge to a different problem — getting providers to the right answer, and making sure the guidance they receive is correct.
You Will:
Interpret behavioral health documentation and coding review results (ICD-10-CM and CPT) and translate them into clear, actionable provider education and feedback
Determine whether a flagged finding is accurate — confirming genuine documentation and coding errors, and identifying findings that were flagged incorrectly so they can be corrected and escalated
Serve as a subject matter expert by answering provider and internal-team questions on behavioral health coding and documentation (ICD-10-CM and CPT) and billing findings
Deliver clear, accurate, and empathetic responses to providers through our support channels (e.g., Zendesk)
Contribute to provider education efforts, including drafting content, identifying documentation gaps, and advising on documentation standards
Partner with our Customer Experience (CX) team to build knowledge base content and resources that help resolve more questions without direct SME support
Provide insights on coding trends, identify risk areas, and recommend improvements to tooling, process, and training
Collaborate with cross-functional partners on initiatives that improve the provider audit-support experience
Stay current with evolving coding guidelines, payer rules, and industry standards through continuing education and independent learning

Have a CPC certification (required) and 1–2 years of experience in outpatient or professional-services coding, ideally within a behavioral health setting

About The Role
As a Therapist Clinical Quality Peer Educator, you'll help ensure therapists' documentation reflects safe, evidence-based, and clinically sound care by evaluating notes against Headway's clinical quality standards. Your work helps promote consistency, support provider growth, and maintain the high standard of care our providers deliver. Some Peer Educators also provide individualized remediation and coaching to help providers successfully meet quality expectations. Please note: this is a part-time role.
You will be great for this role if:
You are a current licensed therapist or professional counselor with an independent, unrestricted license and 3+ years of direct therapy experience.
You have experience completing quality chart reviews or audits for healthcare delivery organizations, and have coached or trained other clinicians on documentation that meets standards of clinical care.
You are comfortable working alongside AI-assisted review tools: critically evaluating a model's output and giving structured feedback that improves both the rubric and the model over time.
You are an expert communicator and educator, with experience conveying information to large and diverse groups of individuals - and you can deliver feedback in a way that feels supportive rather than punitive.
You are comfortable adapting to various healthcare technology platforms, and to workflows that continue to evolve as our programs scale.
Role responsibilities:
Review clinical documentation across note types - initial assessments (90791) and progress notes - to identify gaps that fall below industry standards for high-quality, safe patient care.
Review clinical decision-making processes and the use of evidence-based treatment modalities.
Complete additional quality-assessment work as our programs evolve, including calibration exercises and inter-rater reliability rounds.
Some peer educators may also provide asynchronous and live 1:1 remediation support to providers falling below established standards of care, using education-forward communication that ties documentation expectations to patient safety and quality standards.
Complete all review and documentation work within Headway's designated systems, adhering to HIPAA and Headway's privacy and confidentiality requirements. Patient information is never stored or maintained outside those systems.
Compensation
We have multiple openings for contracted Therapist Clinical Quality Peer Educators. Each role requires a minimum commitment of 10 hours per week. Each peer educator will be reimbursed at an hourly rate of $125 and requires the individual to set up or have an existing LLC or S-Corp.

About the Role
Headway is hiring a People Operations Program Manager to serve as a strategic partner for our People team, building the systems, automations, and agentic workflows that make our teams faster and more data-informed. This role sits at the intersection of HR operations and AI-powered tooling, owning the infrastructure that enables our People team to operate at scale.

Headway is hiring Contract Technical Recruiters to help build the engineering teams that will power our next stage of growth. You’ll partner closely with the larger Headway Engineering Recruiting team to run high-impact searches alongside Engineering leaders, focusing on selling, pitching, and closing high quality candidates who will make immediate impact on our mission.
As a member of the recruiting team, you’ll operate as a talent partner and collaborator with hiring managers and the larger TA team, driving predictable hiring outcomes in a high-growth environment with a high talent bar. Your work will directly shape Headway’s ability to deliver for providers and patients nationwide.
You will:
Support full-cycle searches across the engineering org, spanning both aggressive sourcing at top of funnel and strategic close motions in late stages
Partner closely with Senior Recruiters on the Eng Recruiting team as well as coordinators, interviewers, and hiring managers
Act as a strategic and adaptable partner to hiring managers, quickly refining the approach and/or process as needed to accelerate progress
Build Olympic-level pipelines through targeted sourcing strategies
Ensure every candidate follows a consistent, structured, inclusive process that raises teh hiring bar and improves consistency across teams
Deliver an exceptional candidate experience through every step of the process
You’d be a great fit if you…
Bring 3+ years of full-cycle recruiting experience in high-growth, tech-enabled environments (in-house, agency, or relevant experience even if you didn't carry the TA title)
Have a proven ability to learn new domains quickly and efficiently and can immediately begin delivering value when provided with a new focus
Operate as a strategic and positive partner to your stakeholders, maintaining progress and acting as a true collaborator even in moments of ambiguity
Can break down complex searches into clear plans, diagnosing challenges and proposing solutions proactively
Manage multiple workstreams with structure, balancing high volume with attention to detail and predictable execution
Think creatively about sourcing and outreach to find and engage top technical talent
Care about operational excellence with a focus on constantly improving your workflow and reducing friction for candidates and stakeholders
Communicate clearly and with presence, whether aligning with hiring managers or guiding candidates through the process
