About the Role
The Business Operations Director & Chief of Staff is a senior contributor responsible for how Waymark plans, communicates, and operates as a company. Reporting directly to the Head of Operations and working closely with the CEO and Executive Leadership Team, this leader owns three interconnected mandates: the company's strategic planning and management system, company and internal communications, and the development of the business processes that keep a scaling organization coordinated and accountable.
This role blends the altitude of a strategy leader with the hands-on execution of an operator. You will run the top-level goal-setting processes through which the company sets direction — including company-level planning and performance reviews — and the communications through which that direction reaches every employee. You will design and continuously improve the operating infrastructure the company runs on, from decision-making frameworks to cross-functional workflows. And as a trusted thought partner and proxy for executive leadership, you will take on the ambiguous, high-stakes problems that don't fit neatly within any single function.
Responsibilities
Strategic Planning & Management
Own the company's strategic planning system: refreshing the multi year strategic vision; translating company strategy into clear goals, priorities, and resource allocation decisions; designing and running company-level annual and quarterly planning cycles, rolling up department-level roadmaps and driving key prioritization decisions.
Drive the OKR / goal-setting process end to end — objective setting, results consolidation, progress monitoring, and corrective action — ensuring clarity, consistency, and accountability across all teams.
Run the executive operating rhythm: leadership team meeting cadence and agendas, decision tracking, quarterly business reviews, and executive offsites.
Provide executive leadership with insight and analysis on company performance, surfacing risks, trade-offs, and recommendations to inform key decisions.
Serve as a versatile utility player for the executive team: lead high-priority cross-functional initiatives and special projects, bringing structure and momentum to ambiguous problem spaces critical to Waymark's growth.
Company & Internal Communications
Own the company's internal communications strategy and calendar, ensuring employees understand company direction, priorities, progress, and key decisions.
Plan and produce all-company meetings, leadership communications, and company events — narrative, content, and logistics.
Draft and edit high-stakes executive communications: company-wide announcements, strategy narratives, decision memos, and executive presentations.
Co-lead the development of board narrative / decks for quarterly meetings.
Act as a conduit between the executive team and the broader organization — cascading decisions and strategic direction downward and channeling feedback, questions, and early signals of misalignment upward.
Ensure follow-through on decisions and commitments made in executive forums, routing actions to the right owners and driving them to closure.
Business Process Development
Design, implement, and continuously improve the core operating processes that keep the company coordinated as it scales — planning, reporting, decision-making, administration, and cross-functional coordination workflows.
Own the company's decision-making infrastructure, including decision-memo process, approval workflows, and vendor and procurement review, in partnership with Partnerships, Finance, Legal, and Security.
Identify organizational friction, process gaps, and duplicated effort; partner with functional leaders to redesign workflows and clarify ownership.
Sustain and improve the company's collaboration processes and tooling to maximize productivity and coordination across teams, including thoughtful adoption of AI tools.
Build lightweight systems for planning, reporting, and accountability that scale with the company without adding unnecessary process.
Required Qualifications
Experience: 7+ years in business operations, chief of staff, strategy, or consulting roles with direct healthcare experience; demonstrated success operating at the executive level in a fast-paced, high-growth environment; expert-level proficiency with PowerPoint deck creation and Excel modeling.
Strategic Planning: Hands-on experience designing and running company-level planning processes — annual/quarterly planning, OKRs or equivalent goal frameworks, and performance management rhythms.
Communication: Exceptional written and verbal communication, including executive memos, decks, and company-wide communications; able to quickly distill complex concepts into clear, compelling narratives for executive and all-employee audiences.
Process & Systems Thinking: Track record of designing and implementing business processes, operating cadences, and decision frameworks that improve organizational execution.
Analytical Rigor: Financial and operational modeling skills, combining data-driven analysis with sound business intuition to pressure-test decisions on contracting, budgeting, and strategy.
Influence & Judgment: Ability to influence without authority, build trusted relationships across all levels, and handle confidential information with discretion; entrepreneurial self-starter who delivers results without waiting for direction.
Preferred Qualifications
Passion for improving care for Medicaid patients.
Healthcare experience in value-based care and/or tech-enabled care delivery.
Comfort with a range of collaboration tools (Slack, Jira, Confluence, Asana, HubSpot/Salesforce CRM, Jotform, Google Workspace) and proficiency with AI tools.

About this role
As an Outreach Specialist/Care Coordinator in the region, you will be Waymark’s frontline presence in and alongside healthcare facilities, often our first point of contact with our patients, and a key member of a startup team helping to shape and refine our workflows and build strong relationships with primary care physician partners. You will work to improve the health of patients from low- income communities by fostering trust and connecting them with various providers and resources. You will be part of a care team that is multidisciplinary and includes Licensed Clinical Social Workers, Pharmacists, and Community Health Workers.
Responsibilities
Initiate outreach to new patients and facilitate connections to healthcare resources and support referrals to care team members telephonically, via SMS, via video, or in-person.
Foster trust and improve patient engagement rates through effective, empathetic, and credible patient communication.
Collect, review and analyze patient data from Electronic Health Records (EHRs) or other data sources to assist monitoring and prioritization of patient care and to improve utilization of preventative care.
Communicate with primary care providers through multiple avenues (potentially including EHR messaging and in-person meetings with providers to review patient updates).
Serve as a primary day-to-day contact, and build trusted, collaborative relationships with healthcare facility providers.
Participate in weekly Waymark care team huddles and partner with the full care team (Pharmacists, Licensed Clinical Social Workers, and Community Health Workers) to support coordinated patient care.
Accurately document each patient encounter in detail.
Collaborate with the Waymark support team to test and refine internal workflows and co-design more efficient processes for supporting patient care.
This is a hybrid role, involving remote work from home as well as working within healthcare provider facilities, as needed.
Minimum Qualifications
Excellent verbal and written communication skills.
Comfort tailoring communication to credibly and concisely communicate with primary care physicians and to communicate with patients in an empathetic and accessible manner.
Highly organized and self-motivated to work independently and manage schedules efficiently.
Customer service and/or sales experience.
Experience with Electronic Health Records.
Experience in a healthcare delivery setting, preferably communicating with medical providers.
Passion for working with diverse communities in an empathetic, inclusive, and professional manner.
Friendly, energetic, and enthusiastic personality with a client service orientation.
Comfort navigating a variety of technology platforms including Google Workspace.
Reside in Greater Hampton Road, and have regular access to a car to facilitate travel within the Greater Richmond or Hampton Roads region. Travel required within the surrounding counties (up to 30%)
Must be able to virtually attend a local 3-week-long paid training program as part of your onboarding.
Preferred Qualifications
Experience in care coordination, patient outreach or working in an outpatient clinic or doctor’s office.
Multilingual capabilities.
Knowledge of managed care / health insurance.
Knowledge of Richmond and/or Hampton Roads communities and Medicaid populations.

About this Role
As a Community Health Worker, you will be Waymark’s frontline presence in the community, connecting with patients to provide social support, advocacy and navigation. You will work to improve the health of patients from low- income communities, by connecting them with various providers and resources. You will be part of a care team that is multidisciplinary and includes licensed clinical social workers, pharmacists, and care coordinators.
Key Responsibilities
Attend a 2-3 week long paid training program.
Meet patients in the community, in the home, and in healthcare facilities (including hospitals) and conduct a needs assessment, including motivating patients to set and achieve health goals.
Help patients with health-related social issues like homelessness, substance use and hunger.
Work with other CHWs and staff to create a directory of community resources (e.g., food banks, housing assistance programs, childcare resources, etc.).
Manage relationships with the healthcare facility providers and partner with care delivery team (Pharmacists, Social workers, and Care Coordinators).
Continuously expand knowledge of community resources, services, and programs available to members and build ongoing relationships with these organizations to advocate for members.
Accompany members to medical appointments as appropriate.
Navigate technology systems to document each patient encounter in detail and accurately.
Meet patients virtually, by phone or video visit, for conversations as appropriate.
Support outreach to individuals eligible for Waymark support both in-person and by phone to establish a relationship and let them know about Waymark’s services.
Participate in weekly care team huddles.
Minimum Qualifications
Highly organized and self-motivated to work independently and manage schedules efficiently.
Sound judgment and the ability to quickly analyze situations.
Ability to work with a diverse community in an empathetic, passionate and professional manner.
Friendly, energetic, and enthusiastic personality.
Desire to help others.
Cultural competency- able to work with diverse groups of community members.
Excellent interpersonal communication skills and active listening abilities.
Computer literate with experience and comfort using technology for virtual communication, scheduling, and documentation.
Comfortable with ambiguity and taking on a variety of tasks as needed.
Reside within a commutable distance of DuPage County, Illinois.
Must be available to work a set schedule that includes at least one weekend day per week and one late-start shift per week.
Travel required within the surrounding counties (up to 80%).
Current Driver’s license and access to an insured vehicle.
Preferred Qualifications
Community Health Worker certification.
Long time resident of the DuPage County area and knowledgeable of community resources.
Experience conducting home visits and outreach.
Experience working with managed care patients.
Experience in customer- or client-service roles
Knowledge of Greater DuPage County Medicaid populations.

Preferred Qualifications
Community Health Worker certification.
Long time resident of the Will County area and knowledgeable of community resources.
Experience conducting home visits and outreach.
Experience working with managed care patients.
Experience in customer- or client-service roles
Knowledge of Greater Will County Medicaid populations.

$23.08/hr - $26.20/hr

About this role
As the Santa Rosa area Community Health Worker (CHW) Lead for Waymark, you will lead our community health workers in the region. Reporting to the Market Operations Lead, you will supervise and manage a team of CHWs – including helping them implement their day-to-day priorities, providing coaching and support around patient care, and managing performance to team goals. As a leader in a growing organization, you will also develop and steward community partnerships and resource information to support patient care, and impact how we design, structure, and implement the CHW experience for our employees, spanning recruitment, hiring and training, deployment, mentorship, resourcing, providing pathways to advancement, and advocating for CHWs across our organization and externally.
Key Responsibilities
Provide direct supervision of the day-to-day activities of CHWs in the Healdsburg and Santa Rosa areas, including helping them establish and implement their schedules and priorities.
Lead weekly team huddles with a multidisciplinary team – including CHWs, licensed clinical social workers, pharmacists, and care coordinators – to coordinate patient care.
Provide CHWs with coaching, mentorship, and support to ensure satisfaction and sustainability within the CHW role, and to ensure competency validation, including by managing one-on-one and group meetings with the CHW team and occasionally shadowing fieldwork.
Manage staffing schedules to ensure patient coverage and continuity of care within the local CHW team.
Review data dashboards to manage CHW performance relative to goals and identify strengths and opportunities.
Work with the Operations and Learning & Development teams to hire, train, deploy, and provide ongoing support to local CHWs.
Navigate technology systems to supervise CHW documentation and ensure quality care
Represent Waymark in the community and build and nurture community partnerships.
Maintain knowledge of programs and resources available to community members that promote their health and wellbeing, and support CHWs in understanding and navigating those resources on behalf of those we serve.
Contribute as a member of the local leadership team by representing Waymark’s values and contributing to a positive and collaborative culture across the local team.
Maintain small outreach and patient caseload responsibilities as a working CHW on an as needed basis to support team coverage, including potentially speaking with patients over the phone or meeting patients in the community, home, or in healthcare facilities.
This is a hybrid role involving work from a home office as well as travel required within the market (up to 60%)
Current Driver’s license and access to an insured vehicle.
Minimum qualifications
Experience supervising teams of community health workers or related local health workforces.
Experience delivering health services as a CHW or related role and openness to supporting a small caseload
A leader with cultural and personal humility. Has a strong understanding of Medicaid and the barriers to healthcare access and quality among diverse, underserved populations, and is comfortable describing our work externally and building community relationships.
Sound judgment and the ability to quickly analyze situations and manage team members with empathy and care
Experience and comfort using technology for virtual communication, scheduling, and documentation.
Strong understanding of, and ability to teach and implement, principles of trauma-informed care, motivational interviewing, and harm reduction, including among populations facing serious mental illness and substance use challenges.
Ability to travel to local neighborhoods across Sonoma county to help build and nurture community partnerships, establish new CHW teams, and support existing teams.
A person who thrives on building and supervising a team of care providers, building professionalism and positive culture among those working to support the hardest-to-reach patients.
Preferred qualifications
Knowledge of common CHW recruitment, hiring, training and supervision strategies, and ability to compare and contrast such strategies in real-world situations.
Community Health Worker certification.
Long time resident of the Northern CA area and knowledgeable of community resources.
